She describes co-founding urban retreat Clear Mind Studio with her husband Craig in 2008 as a personal quest to help others reduce stress and find peace and balance in a fast paced, constantly evolving world.
Whether it’s unwinding after a hectic week or seeking time out from life’s challenges, Karen’s journey towards peace in her business has been incredible – and just like for many of us, filled with lots of challenges, triumphs and failures along the way.
In this episode, Karen shares her learnings from the five strategic changes she made to free up time and take her business to new heights.
1. Implementing AI for Client Management
When the world hit pause during 2020, businesses everywhere, including Clear Mind Studio, had to close their doors. Upon reopening, Karen and her team were overwhelmed with missed calls and bookings, revealing a significant bottleneck: staff couldn’t possibly handle all the inquiries in a timely fashion.
Their solution was to implement an AI bot to capture these missed calls and handle client bookings when our staff were unavailable. By automating bookings and inquiries, the AI bot relieved a significant amount of pressure from the team, enabling them to focus on in-studio clients. This led to a 50% increase in bookings through the system—an efficiency boost that both clients and employees appreciate.
2. Utilising Asana for Team Communication
Another key change was adopting the project management software Asana for team communication and task management. Previously, communication was chaotic, often relying on post-it notes and scribbles on notepads—methods prone to errors and oversight.
With Asana, Clear Mind Studio’s 12-member team could keep track of daily operations, stock inventories, marketing campaigns and more with precision and clarity. This means tasks are handled seamlessly, even when Karen and Craig are not physically present.
3. Planning Marketing Campaigns in Advance
In an environment as dynamic as the wellness industry, reactive marketing can only get you so far. Karen revolutionised Clear Mind Studio’s marketing approach by planning campaigns a year in advance.
By analysing data and trends, they mapped out key periods requiring marketing support—like Mother’s Day, Father’s Day, Black Friday, and Christmas. Trialling new strategies, such as a January sale, turned low-revenue periods into profitable months. The evidence was clear: when you plan and prepare, success follows.
4. Overstaffing, Outsourcing and Clear Role Allocation
Karen and Craig firmly believe in the power of focused roles and a well-supported team. They chose to “overstaff” to ensure that customer service remains top-notch and operations are smooth, even during busy times.
By delegating roles such as laundry and maintenance, they freed up their own time to concentrate on high-impact activities like strategic growth, marketing and finances.
5. Implementing a Customer Loyalty Program
It’s five times more expensive to acquire a new customer than it is to retain an existing one. Acknowledging the profound value of loyal customers, Karen introduced the points-based loyalty program, Clear Mind Club, in 2023.
Encouraging customer engagement through points and rewards is effective in not only nurturing customer relationships but also driving repeat business.
By implementing these strategic changes, Karen and Craig have drastically transformed Clear Mind Studio. These modifications freed up their time, allowing them to seize opportune moments for growth—such as opening their second studio in Fremantle, WA.
