How to Scale & Run A High-Performing Virtual Team with Emma Campbell

Running a virtual team comes with its own unique set of challenges, but when you get it right, the results can be truly rewarding. I had a really inspiring conversation on this topic with Emma Campbell recently. We talked about what it really takes to build and nurture a high-performing virtual team and I’m so excited to share this conversation with you. As more of us are steering businesses that transcend physical boundaries, I know this is going to be so relevant for you.

Emma Campbell is a performance and culture coach, founder, CEO and an all round amazing human. With over 12 years experience in leadership and culture, a background in HR, qualifications in performance, coaching, psychology, and business, Emma’s approach is unique, combining strategy and intuition to unlock new possibilities for her clients. For more than a decade, she has coached leaders of six, seven and eight figure startups, SMEs and organisations to expand their mindsets, uplevel their leaders and scale their teams.

Relationships Still Matter Most

One thing Emma and I completely agreed on is that strong relationships remain the foundation of everything, even in virtual spaces. It’s easy to think that because we’re not sharing a physical office, the relationship-building can take a back seat. But actually, it becomes even more important to prioritise interactions that are genuine and meaningful.

Whether you’re working with virtual assistants, online business managers, or a full remote team, creating an environment where people feel safe, seen, and appreciated isn’t optional—it’s essential. We often underestimate the power of simply acknowledging our team’s efforts, but those moments of recognition can completely transform the trust and positivity within your team culture.

Values as Your North Star

Emma really emphasised how clearly defined values are vital for creating a positive team culture. It’s not enough to just have them written down somewhere—you need to embody those values in your daily interactions. In our team, having clarity around values like “serve the work and serve each other” helps everyone understand not just what we do, but how we do it.

Being tangible about your expectations and ensuring new team members align with these principles from day one makes all the difference. Your values become the filter through which decisions get made and conflicts get resolved.

The Art of Honest Communication

Our conversation really highlighted the necessity of robust communication and having the courage to provide feedback in real time. So many challenges arise when difficult conversations get avoided, which only leads to misunderstandings and inefficiencies that could have been avoided altogether.

I shared the example of how I use voice notes to address any uncertainties before they escalate into bigger problems. Creating psychological safety—where team members feel comfortable speaking up and sharing their thoughts honestly—is what separates high-performing teams from the rest. Everyone needs to feel empowered to contribute their best work.

Making Virtual Spaces Work

Navigating virtual spaces might lack those spontaneous coffee chat moments, but it can still be deeply rewarding when you’re intentional about it. At Swift Ventures, we rely heavily on asynchronous communication in Slack to keep everyone connected without drowning in unnecessary meetings.

This approach allows us to be dynamic and responsive, which is perfect for the fast-paced nature of our work. The key is finding the right balance between staying connected and respecting everyone’s focused work time.

Leading with Vulnerability

Throughout our conversation, Emma and I both agreed that embracing vulnerability is critical for effective leadership, especially in virtual settings. Sharing our human side—not just our strengths—builds a solid foundation of trust that you simply can’t fake.

It’s completely okay to not have all the answers and to seek collective solutions. This openness creates an environment where team members feel inspired to show up authentically, which ultimately leads to better work and stronger relationships.

Building Something Special

Running a virtual team brings unique challenges, but also incredible opportunities for growth—both for the team and for you as a leader. By focusing on genuine relationships, clear values, honest communication, and vulnerable leadership, you can cultivate teams that don’t just perform well, but actually thrive.
